The shift lifecycle

From hire to payday, one connected flow.

Most agencies stitch these steps together from tools that never talk. Here each one feeds the next, so the work is done once.

1

Hire

Bring on a caregiver and start their onboarding program.

2

Onboard

Forms prefill from their application; credentials collect themselves.

3

Track credentials

Every certification is watched for expiry from day one.

4

Schedule

Only qualified, available staff can be booked onto a shift.

5

Clock in

Real-time punch from the app, web, or a QR code, with location.

6

Capture

Hours, notes, and expenses are recorded at clock-out.

7

Pay

Accurate payslips from real hours, in one reviewed run.

One source of truth

No re-keying between steps. No spreadsheets in the gaps.

The modules

Every module, and exactly what you can do in it.

Each part of the platform, what it is for, and the work it does. Open any module for the full picture.

And the rest of the platform

The modules that keep the record complete.

  • Ordered task programs
  • Reading, form, and document tasks
  • Video and acknowledgement tasks
  • E-sign tasks
  • One-task-at-a-time runner
  • Forms that prefill from the application

  • Timed quizzes
  • Mixed question types
  • Completion certificates
  • Transcript and certificate wallet
  • Learner portal
  • Students directory

  • Drag-and-drop field placement
  • Signature, initial, date, and text fields
  • Fields assigned per signer

Expenses & mileage

Claimed at clock-out. Paid on the next payslip.

Field staff log mileage and receipts at clock-out. Managers approve inline, and approved claims land on the next payslip as a reimbursement line, paid once.

What you can do
  • Logged at clock-out
  • Mileage with a per-distance rate
  • Receipt upload from the phone
  • Manager review queue
  • Approve or reject with a reason
  • Swept into the next pay run
  • Paid once, never twice
  • Claim history in the app
  • and 2 more
Employee records

One profile that every other module reads from.

One profile per caregiver: job details, documents, skills, banking, and an audit trail. Scheduling, compliance, and payroll all read from it, so nothing is entered twice.

What you can do
  • Employee profiles and job details
  • Departments, designations, and locations
  • Roles and permissions
  • Document library per employee
  • Direct deposit and banking details
  • Skill bank
  • Per-staff activity audit trail
  • Employee self-service portal
  • and 4 more
Communication

Reach the field without a group text.

Message the office from the app, publish a notice everyone sees, and keep the answers you repeat weekly in a knowledge base instead of an inbox.

What you can do
  • Internal chat
  • Caregiver to office messaging
  • Company notice board
  • Knowledge base articles
  • In-app alerts for shifts and approvals
  • Notification history
  • Deep links straight to the record
  • Birthday and event reminders
Dashboards & reporting

Run the day from one screen. See risk before it bites.

Live dashboards answer the questions you ask every morning; the report set answers the ones you get asked at audit. Same records, nothing to reconcile.

What you can do
  • Team status widget
  • Live activity feed
  • Coverage versus gaps
  • Expiring credentials at a glance
  • Schedule versus actual report
  • Attendance exceptions report
  • Payroll and payslip reports
  • CSV export on every table
  • and 10 more
The mobile companion

The office runs on the web. The field runs on the app.

Your caregivers will not log into a desktop portal, but they will use an app. Managers get approvals and oversight on the same one.

For caregivers

View and claim shifts, set availability, clock in and out, submit expenses, upload and renew documents, view payslips, and message the office.

For managers

Approve claims, see who's in right now, and fill open shifts from anywhere, all permission-gated to what each person should see.

In the app
  • This week at a glance
  • Claim open shifts
  • Set availability
  • Clock in and out with location
  • Log mileage and expenses
  • Upload and renew documents
  • View payslips and pay history

Where it runs

Built for care and staffing operations.

Shifts across facilities and clients, credentials that gate assignment, and pay built from hours worked are the defaults here, not add-ons.

Home & domiciliary care

Visits across clients, travel time, and mileage on the payslip.

Nurse & allied staffing

Broadcast open shifts to qualified workers across clients.

Residential & assisted living

Rotas by facility with rest gaps and overnights handled.

Supported living

Consistent teams per service user, with credentials enforced.

Multi-site care groups

One coverage view across every location you operate.

Partner agency networks

Your own staff and supplied staff in one system.

By role

Everyone who touches a shift gets their own view.

Permissions decide what each person sees, so the same platform is a scheduling board, a pay run, or a phone with this week on it.

Agency owners & operators

See coverage, compliance risk, and payroll cost in one place, without waiting for someone to build a report.

Schedulers & coordinators

Build the week, catch conflicts before publish, and fill a call-out from the open-shift pool instead of a phone tree.

HR & compliance leads

Every credential tracked with an expiry, every renewal chased, and an audit that is a report rather than a fire drill.

Finance & payroll

Pay built from real clocked hours with expenses swept in, and a frozen snapshot behind every payslip.

Field managers

Approve claims, see who's on-site right now, and fill an open shift from your phone between visits.

Caregivers & field staff

Shifts, clock-in, documents, expenses, and payslips in one app, so nothing needs a call to the office.

Why ClockHub

Nine reasons agencies pick it over a generic HR suite.

Care and staffing work is shift work, and the platform is designed around that from the roster to the payslip.

One connected chain

Hire, onboard, credential, schedule, clock in, pay. Each step feeds the next, so the work is done once and no number needs reconciling.

Compliance that enforces itself

An expired credential does not need to be noticed. It warns or blocks assignment on the roster, where the decision is actually made.

Adoption you can count on

Field staff will not log into a desktop portal, but they will use an app. Self-service means fewer calls to the office.

Built for shift work

Overnight shifts, fractional hours, rest gaps, and per-assignment rates are first-class, not workarounds bolted onto a generic HR tool.

Payroll you can audit

Every payslip freezes the attendance it was built from, so any run can be reviewed months later without rebuilding it.

Permission-scoped throughout

Role-based access, tenant isolation, and encrypted sensitive fields. People see the records their job requires and no more.

Set up in a day

Import your people, define your shift patterns, and run your first roster the same week. No quarter-long implementation.

Grows with the agency

Start with scheduling and time tracking, switch on compliance, payroll, onboarding, and training as you need them.

Support that knows care

Onboarding help and a team that understands rotas, credentials, and pay periods, not generic ticket deflection.

Why agencies switch

Three problems ClockHub puts to bed.

Coverage

Gaps filled in minutes

Post an open shift to every qualified, available caregiver at once and let them claim it, instead of working a phone tree.

Before: texting staff one by one and hoping someone says yes.
Compliance

No lapsed credentials

Expiries are tracked and chased automatically, and an out-of-date certification keeps someone off the schedule until it is renewed.

Before: a spreadsheet nobody updates until an audit looms.
Payroll

One reviewed run

Real clocked hours become accurate payslips with expenses swept in, so payroll is a review, not a rebuild.

Before: days reconciling timesheets by hand before every pay day.

FAQ

Questions we get asked before a demo.

What it covers, how compliance is enforced, and where payroll hours come from.

What exactly is ClockHub?

ClockHub is a workforce management platform for home care and staffing agencies. It covers scheduling and open shifts, credential compliance, time and attendance, expenses, onboarding, training, e-sign, employee records, and payroll, with a mobile app for your field team.

Is it a web platform or a mobile app?

Both, with a clear division of labour. The depth lives on the web: the roster grid, coverage, compliance dashboards, the payroll wizard, onboarding programs, and reporting. The mobile app is the field companion for caregivers and managers, so your team can claim shifts, clock in, submit documents, and view pay without a desktop.

How does ClockHub stop an unqualified caregiver being scheduled?

Every credential carries an expiry and a status: valid, expiring, expired, or missing. When a required credential is expired or missing, the roster warns or blocks that person from being assigned to a shift that needs it, so the rule is enforced at the moment of the decision rather than in a report someone reads later.

How do open shifts work?

Post an unfilled shift once and it goes to every caregiver who is available, qualified, and not already booked. They claim it from their phone, first come first served, with the slot locked so two people never take the same one. You approve rather than chase. A call-out can be reposted to the pool straight away.

Where do payroll hours come from?

From the punches themselves. Each clocked shift carries the hours worked, the facility, the assignment, and the pay rate frozen at clock-out, so a pay run reads the record instead of rebuilding it. Approved mileage and expenses are swept onto the same payslip, paid once.

Can caregivers clock in without a phone signal?

Yes. Attendance can be captured offline and synced when the device is back online, and clock-in also works from the web or a QR code at the facility.

Can we import our existing people and shift patterns?

Yes. Employees, documents, and shift patterns can be brought in during setup, and most agencies are running their first roster in the same week rather than waiting on a long implementation.

How is our data protected?

Each agency is an isolated tenant, access is role-based so people only see the records their job requires, sensitive fields such as banking details are encrypted at rest, and changes to employee records are recorded in an audit trail.

Does ClockHub handle clinical or patient records?

No. ClockHub is deliberately a workforce platform: people, shifts, hours, credentials, and pay. It does not store clinical or care-plan records.

What does it cost, and is there a free trial?

Each plan sets a ceiling on active employees and the modules switched on, billed monthly or annually. Scheduling, time tracking, and the mobile app are on every plan, and you can start a free trial without a credit card. The pricing page lists the live plans.
